Fundraising Card Help Guide

A step-by-step walkthrough for members on how to create and set up a fundraising card for their club's event.

Select an Event

Your fundraising card must be linked to an active fundraiser event created by your club admin. Start by choosing the event from the dropdown at the top of the create form.

  • Select Event — Choose the fundraiser event your card belongs to. Only active, open events for your club are listed here. Required
  • The event name, start date, and end date are shown in the dropdown to help you pick the right one.
  • Once an event is selected, the AI Generate button becomes available on the description field.
Don't see your event? Contact your club admin — the event may not have been created yet, may have ended, or may not be marked as a fundraiser.

Card Title & Description

Give your fundraising card a personal title and description. These are visible to supporters when they view your card.

  • Title — A short, personal name for your card. This appears on the card listing and detail page. Required
    Example: "Melanie's Fundraising Card"
  • Description — Tell supporters who you are, what you're raising funds for, and why their donation matters. Required
    Example: "I'm raising funds to help our team compete at State. Every donation goes a long way — thank you!"
AI Generate: Once you've selected an event and entered a title, the AI Generate button appears next to the description label. Click it to automatically create a personalized description based on your club and event — you can edit it before saving.
Tip: Keep your description warm and personal. Supporters are more likely to donate when they feel a personal connection to the member they're helping.

Card Template

Templates control the visual appearance of your fundraising card — the background, colors, and layout that supporters see when they open your card to select days.

  • Select Template — Choose from the templates your club admin has created. Optional
  • Select No template to use the default plain layout.
  • Templates are managed by your club admin under Card Templates in the sidebar.
Note: You can change the template later by editing your card after it's been created.

Member Information

Enter the name of the member this fundraising card belongs to. This is the name displayed prominently on the card listing so supporters know whose card they're donating to.

  • Member Name — The full name of the member (athlete, student, participant, etc.). Required
    Example: "Melanie Smith"
Tip: Use the member's real name as it appears in club rosters so supporters can easily identify who they're supporting.

Member Picture

Upload a photo for the member. This photo appears as the avatar on the fundraising card listing and makes the card more personal and recognizable.

  • Click the upload area or the photo placeholder to open the file picker.
  • Accepted formats: PNG, JPG, GIF.
  • Maximum file size: 15 MB.
  • A preview of the selected photo appears immediately — verify it looks correct before submitting.
Tip: Use a clear, friendly head-shot or action photo. Cards with photos receive significantly more engagement than those without.
Optional but recommended: You can skip the photo and add or change it later from the card edit page.

Submitting Your Card

Once all required fields are filled in, click Create Fundraising Card at the bottom of the page to submit.

  • Required fields: Event, Title, Description, and Member Name.
  • If any required field is missing, the form will highlight it and scroll to the first error.
  • On success you are redirected to your new fundraising card's detail page where you can immediately share it.
Success: After submitting, your card is live and visible to anyone with the link. Share it right away so supporters can start selecting days!

To discard your changes, click Cancel — you'll be returned to the Fundraising Cards listing without saving anything.

After Your Card Is Created

Once created, your card detail page gives you several tools to manage and promote your fundraiser:

  • Share — Copy or share your card link directly with family and friends via social media, email, or text.
  • Print Cards — Generate a printable version of your fundraising card to hand out in person.
  • Edit — Update your title, description, template, member name, or photo at any time (only available to the card owner).
  • Track progress — The card detail page shows which days have been selected, how much has been raised, and the overall completion status.
Supporters select numbered days on your card that correspond to donation amounts. Once all days are selected and paid, your card is marked Completed.

Frequently Asked Questions

Can I create more than one fundraising card?
Yes — you can create a card for each active fundraiser event your club has open. Each card is separate and tracks its own donations.

Can someone else create a card for a member?
Yes — any logged-in member of the club can create a card. The Member Name field lets you enter someone else's name, so a parent or team manager can create cards on behalf of members.

What happens after the event ends?
The card remains visible but is locked — no new day selections can be made. All existing selections and payment records are preserved.

How do supporters pay?
Supporters visit your card, enter their email, select one or more numbered days, and click Click here to pay. Payment is processed through your club's configured payment provider.

Can I change the template after my card is created?
Yes — click Edit on your card detail page and choose a different template from the dropdown. The change is applied immediately.

I don't see the event I need — what do I do?
Contact your club admin. They need to create the fundraiser event and mark it as a Fundraiser before it appears in your card creation form.
